Title of Position: Customer Service Representative

Position Type: Full time; Non-exempt

Air Squared Manufacturing, LLC is an OEM manufacturer of scroll type compressors, vacuum pumps and expanders for the medical, aerospace, fuel cell and power generation industries. We are looking for a Customer Service Representative who is the primary party responsible for the administrative tasks of all customers including sample and in-production OEM accounts.

Responsibilities include order processing, all outbound shipping arrangements, RMAs and other general administrative tasks. Also supports the Sales Team.

Pay Range: $24 - $28 / hour, based on qualifications and experience

Job Responsibilities:

Customer Orders

• Review of purchase orders for terms, pricing, and part number alignment to generate order acknowledgements for customer-specific product
• Pull EDI customer shipments from supplier portals for processing
• Generates progress invoices as required and monitors payment receipt before shipment
• Work with AR on net payment terms approvals
• Processes order documentation including packing lists, international customs documentation, certification of conformance in preparation for shipment
• Invoices product at shipment and sends invoice and tracking to customer
• Processes credit card payment approvals
• Coordinates customer arranged shipments pending BOL's and shipping labels through direct communication and through customer shipping portals
• Moves all documentation to shipping when ready for shipment
• Updates sales orders as shipping dates change and updates customers and sales staff
• Updates all internal tracking documents related to order processing
• Respond to customer inquiries regarding orders and shipping schedules

Return Material Authorizations

• Generates RMAs upon request
• Create RMA electronic files for storage of supporting documentation and reports
• Tracks RMAs through engineering, production, and quality to resolve and return product to customer
• Maintain RMA trackers
• Administrative oversight and organization of product recalls and rework process to support engineering

Other Job Functions as Required

• Updating job specific work instructions, training procedures, and general documents
• Perform other duties as assigned
• Support Sales Team

Qualifications :

• High School diploma (required), associate's degree (preferred)
• Customer service experience in a manufacturing environment (required)
• Demonstrated proficiency in MS Office Products and ERP software systems
• Strong multi-tasking, analytical thinking, and problem-solving skills
• Exceptional interpersonal skills and well established written and verbal communication skills
• Excellent organizational skills and attention to detail
• Experience in small business environment a plus
